Whether you are an exhibitor or a Hosted Buyer, find the key information on how the Cybersecurity AI & IT One to One Meetings exhibition works.
FAQ Exhibitors
A B2B professional exhibition that combines an exhibition area with a programme of business meetings prepared in advance. Exhibitors meet Hosted Buyers on their stand, whose needs and projects have been provided and validated before the event. The format is designed to focus commercial discussions on relevant decision-makers.
A One to One Meetings exhibition combines stand visibility, pre-scheduled individual meetings and networking time. It reduces random prospecting during the event and allows sales teams to prepare their discussions based on identified projects. Results still depend on how well the offer matches the needs and on contact follow-up.
Weyou Group selects strategic, premium destinations to offer an immersive business experience combining qualified meetings, networking and business development opportunities.
Cannes enjoys international renown and a dynamic economic ecosystem that is particularly attractive to French companies and players in the European market. Located in the heart of the city, the Palais des Festivals et des Congrès offers a high-end setting, close to the hotels and networking venues. This configuration encourages exchanges between exhibitors and Hosted Buyers while making it easier for decision-makers from the French and international markets to attend.
The Premium Cybersecurity AI & IT One to One Meetings exhibition is aimed in particular at CIOs, IT directors, CISOs and IT security directors, network and telecoms directors, IT production directors, infrastructure directors and technical directors.
Applications are reviewed on the basis of the position held, the scope of decision-making or influence, and the projects, needs and budgets declared. The aim is to bring together professionals likely to have useful discussions with the exhibitors in the sector. Each application remains subject to validation by the organising teams.
Matchmaking is based on a process structured in several phases, combining our proprietary digital platform, the participants' mutual choices and our matching algorithm, in order to organise qualified business meetings.
- Profile creation and qualificationExhibitors and Hosted Buyers complete their respective profiles on the platform, providing details of their activities, solutions, needs and projects.
- Wish phaseEach participant browses the profiles available on the platform and selects the exhibitors or Hosted Buyers they would like to meet, according to their objectives and interests.
- Acceptance and refusal phaseParticipants receive the meeting requests addressed to them and can accept or decline them. This step confirms the mutual interest of both parties.
- Matchmaking and agenda buildingAt the end of these phases, our matchmaking algorithm cross-references mutual choices and availability to automatically build the agendas of qualified meetings, held directly on the exhibitors' stands.
- Agenda deliveryFinal agendas are sent to participants before the exhibition opens, allowing them to prepare their business meetings.
Please note: the dates of the different phases are available in the exhibitor area and are regularly communicated by the organising team.
Yes. You can express your preferences on the platform; the meetings added to your agenda result from mutual interest and the participants' availability. Selecting a profile is therefore not, in itself, a meeting confirmation.
The information shared about Hosted Buyers depends on what is available at the time of the request and on the applicable confidentiality rules. The sales team can present the authorised profiles and data, but access to an exhaustive list of names cannot be guaranteed.
Hosted Buyers are recruited and qualified with the sectors, solutions and profiles of the participating exhibitors in mind, to encourage relevant meetings. During the matchmaking phases, exhibitors and Hosted Buyers mutually select the profiles that match their needs and projects, ensuring mutual interest before meetings are scheduled.
In addition, as soon as their contract is validated, each exhibitor can send their sales contact a list of decision-makers they would like to meet. Our Hosted Buyers team will then do its best to contact and invite them as a priority, subject to their eligibility and interest in the event.
After each edition, exhibitors rate the Hosted Buyers they met, allowing our teams to measure the quality and relevance of the profiles. Only Hosted Buyers who received excellent ratings and have new qualified projects may be invited to a new edition. The other participants are new Hosted Buyers, selected and qualified by our teams, to ensure the audience is renewed and exhibitors benefit from relevant business opportunities.
The planned number of meetings and any performance commitments are set out in the offer and contractual terms for the edition concerned.
Weyou Group provides a minimum number of business meetings in each exhibitor package, in accordance with the terms of the participation contract. Our general terms and conditions also include a meeting guarantee: if fewer than 80% of the meetings are matched and scheduled by our algorithm, Weyou Group undertakes to refund the full amount of the agenda, unless this situation is attributable to the exhibitor.
Thanks to its proprietary digital platform, Weyou Group centralises and updates participant and business meeting data in real time. This interconnection allows the organising teams to follow how agendas are running, manage any reported delays or absences and step in quickly if something unexpected happens. This set-up ensures operational follow-up throughout the event and helps optimise the organisation of meetings, so exhibitors can focus on their business discussions.
Let the organising teams know so they can record the absence and apply the follow-up procedure planned for the event. Replacement or rescheduling options depend on availability and cannot be guaranteed without a specific provision.
Access is opened according to the schedule communicated for each edition. The platform lets you complete your profile, express your preferences and view your confirmed meetings; how to access the app and when the agenda is published are specified in the exhibitor communications.
The Meetings format is based on meetings held on the exhibitors' stands. Participation and layout arrangements nevertheless depend on the package sold and the event regulations; any exception must be approved by the sales team.
The contractual proposal details the floor space, equipment, planned meetings, participant access, visibility services and, where applicable, networking events. Services not included and additional options are also specified.
Customisation options, the involvement of an external stand builder and demonstrations depend on the technical regulations, venue constraints and the package chosen. Any specific installation must be submitted for approval before the event. You will find all the information about your stand in your exhibitor area > prepare my stand.
The stand plan, ordering arrangements (furniture, electricity, storage), carrier contacts and access instructions are provided in the technical guide or in your exhibitor area > prepare my stand. Deadlines and storage solutions vary depending on the venue.
The number of exhibitor badges is unlimited. However, it is important to enter your team members' details before the deadline communicated, so their badges can be prepared and handed over in the best conditions. Set-up and dismantling times for each edition are specified in the technical guide, available in your exhibitor area > prepare my stand, and must be respected for safety reasons.
Yes, the shared areas and networking times offer additional opportunities for discussion, subject to the event's access arrangements. These encounters do not replace the meetings provided for in the contract.
After the exhibition, each exhibitor receives the full contact details of the Hosted Buyers they scanned during their meetings and during networking times. The contacts are available in the exhibitor area > my scanned contacts.
With the Analytics tool, available from their exhibitor area, exhibitors get a detailed analysis of the prospects identified during the exhibition, allowing them to track their business opportunities and organise their follow-ups after the event.
Hosted Buyers are also required to declare the exhibitors with whom they have ongoing projects. This information is then submitted to the exhibitors concerned for validation.
This cross-tracking allows Weyou Group to measure its clients' return on investment (ROI), assess the quality of Hosted Buyers and analyse the business impact generated by the exhibition.
Hosted Buyers may lead projects in cybersecurity, data protection, infrastructure security, cloud, networks, IT governance or information systems transformation. Needs are declared and qualified in advance in order to identify the categories of solutions being sought. The actual breakdown of projects depends on each edition.
FAQ Hosted Buyers
The Hosted Buyer programme is aimed at professional decision-makers and influencers who have purchasing or investment projects or identified needs in the exhibition's sector. Applications are reviewed by the organising teams, taking into account the position, responsibilities, declared projects, their budgets and their delivery or implementation date.
You provide your contact details, your position and relevant information about your projects via the exhibition form. Your application is then reviewed; submitting the form does not mean automatic acceptance into the programme. The team will let you know the next steps.
The programme can cover short- or medium-term projects as well as recurring professional needs. Specify their nature, the planned timeline and your priorities so the team can assess how well they fit the edition concerned.
You can put forward a colleague from your company, particularly if they lead projects separate from yours. Their application is reviewed separately. Once accepted and hosted, they have their own meeting agenda. Attending without being hosted may be subject to specific arrangements.
The platform takes into account the projects and wishes expressed by Hosted Buyers and exhibitors. Meetings are based on mutual selection and available time slots. Your agenda is built ahead of the exhibition and made available according to the announced schedule.
Yes. You indicate the companies or categories of solutions relevant to your projects. Selecting an exhibitor does not, however, guarantee a meeting: scheduling also depends on their interest and shared availability.
The expected number of meetings depends on the programme and the commitments for the edition. As a guide, the average is 7 meetings over one day and 15 over the two days. The time slots in your confirmed agenda must be respected. The exact number is communicated when your agenda is sent to you.
One to One meetings generally last 15 minutes and take place on the exhibitors' stands. This organisation makes for focused discussions while leaving time slots dedicated to conferences and networking.
You can talk freely with participants during available times, subject to the access rules and the constraints of your programme. These additional encounters do not replace your confirmed mandatory meetings.
Agendas and operational data are interconnected and updated in real time on the Weyou platform. The teams can thus follow how meetings are going, coordinate participants and deal with any unexpected events.
For selected participants, the programme may include an invitation and coverage of services defined by the organiser. This coverage is subject to eligibility and participation conditions communicated in advance.
Depending on the exhibition and your situation, it may include return travel, accommodation, transfers and catering under the stated conditions. The number of nights, any caps, services not included and booking arrangements are specified in the regulations for the edition.
Once your participation is validated, the logistics teams provide the booking information and the applicable transfer arrangements. Hotels are chosen with access to the event venue in mind; shuttles can be organised if needed.
Partial attendance can be discussed with the Hosted Buyers team. It must remain compatible with the mandatory meetings and key moments; some editions require a minimum presence, for example one day of meetings and one networking evening.
You undertake to attend your confirmed meetings and to respect the mandatory participation times specified in the form: depending on the exhibition, these may include business lunches, an evening event or other parts of the programme. The badge and the organisational instructions must also be respected.
Yes, within the limits of the programme and your meeting obligations. Conferences are scheduled outside meeting slots. Some exhibitions also have work areas or VIP zones; their access and services are specified for each edition.
No: when your application is validated, your agenda has not yet been built. The companies you meet will be determined later, based on the projects and mutual wishes expressed on the platform. This sequence is an important part of the programme's transparency.
No. The discussions allow you to explore solutions or projects with no obligation to buy, order or sign a contract. Accepting an invitation to the programme should not be regarded as a commercial consideration.
Before accepting, check that the services offered and the programme commitments are compatible with your internal rules on invitations, gifts, conflicts of interest and business travel. If necessary, ask for approval from your manager or compliance officer.
When you register, you read the conditions for taking part in the Hosted Buyer programme, including the commitments relating to meetings, networking events and any cancellation conditions. Your acceptance is recorded to ensure the process is transparent and, if necessary, to show which conditions you accepted when you registered. This traceability helps meet compliance requirements and your company's internal policies.
Yes, in accordance with the cancellation terms accepted when you registered. Some editions allow free cancellation up to a deadline, followed by fees for late cancellation or no-show. Only the exhibition's own conditions are binding. Cancellation fees are communicated to you when you register.
You can describe your projects to secure information systems, infrastructure, cloud, networks, compliance or IT modernisation, as well as your recurring needs for solutions and services. Specify your priorities, the objectives sought, the planned timeline and, if possible, the budget to make qualification and matchmaking easier.
The programme is aimed at professional decision-makers and influencers. You can therefore apply if you are involved in identifying needs, evaluating solutions or choosing providers, even if the final contract signature is handled by another department. Each application remains subject to validation.
